Privacy Policy

This privacy policy is a baseline draft and must be reviewed by qualified data-protection counsel before go-live, including confirmation of GDPR applicability, the need for an EU representative (Art. 27 GDPR), and Singapore PDPA obligations.

2. Scope

This policy applies to the voxperto.com website and to the Voxperto voice/chat assistant made available through it.

3. What data we may process

Depending on how you use the site and the assistant, we may process:

Server/log data: IP address, date and time of access, browser type and version, operating system, referrer URL, and similar technical data automatically transmitted by your browser.
Contact-form and inquiry data: name, e-mail address, message content, and any other information you voluntarily provide.
Voice and call data: audio recordings and/or transcripts of your interactions with the voice assistant, and associated metadata (e.g. timestamps, session identifiers), where you use voice features.
Chat/assistant data: the text messages you send to the assistant and the responses generated.
Cookies and analytics data: device and usage information collected via cookies and comparable technologies (see section 8), where you consent.
Account data (if accounts are offered): not applicable — no user accounts are offered at this time.

4. Purposes and legal bases (GDPR)

Where the GDPR applies, we process personal data on the following legal bases:

Provision of the website and assistant — to deliver the requested service and ensure technical stability and security: Art. 6(1)(b) and Art. 6(1)(f) GDPR (legitimate interest).
Responding to inquiries / contact form — Art. 6(1)(b) GDPR (pre-contractual/contractual) and/or Art. 6(1)(f) GDPR.
Voice/chat assistant processing — to operate the assistant, generate responses, and where applicable improve service quality: Art. 6(1)(b) and/or Art. 6(1)(a) GDPR (consent) where required.
Analytics and non-essential cookies — Art. 6(1)(a) GDPR (consent).
Compliance with legal obligations — Art. 6(1)(c) GDPR.

5. AI assistant — important notice

The Voxperto assistant is an artificial-intelligence system. Inputs you provide (including voice) may be processed by us and by our technology providers/sub-processors to generate responses. Please do not submit sensitive personal data (e.g. health, financial, or special-category data) unless expressly requested and lawfully justified. Automated outputs may be inaccurate; see the Disclaimer.

6. Recipients and processors

We may share personal data with service providers who process it on our behalf under data-processing agreements, including hosting, voice/speech-to-text and AI model providers, analytics, and communications providers. A current list of key sub-processors is available on request from kai@ki-agenten.shop. We do not sell personal data.

7. International data transfers

As the controller is established in Singapore and providers may be located outside the EEA, personal data may be transferred to and processed in third countries, including Singapore. Where required, such transfers are safeguarded by appropriate measures (e.g. EU Standard Contractual Clauses and/or an adequacy decision, where available). Specific transfer mechanisms per provider are available on request.

8. Cookies and tracking

We use strictly necessary cookies to operate the site. Non-essential cookies and analytics/tracking technologies are used only with your consent, which you can grant or withdraw at any time via the cookie settings. Specific cookies and analytics tools in use are disclosed in the cookie settings.

9. Retention

We retain personal data only as long as necessary for the purposes described or as required by law. Voice recordings/transcripts and log data are deleted or anonymised once no longer needed for the purposes described above. Contact data is retained for the duration necessary to handle your inquiry and applicable statutory periods.

10. Your rights

Where the GDPR applies, you have the right to: access (Art. 15), rectification (Art. 16), erasure (Art. 17), restriction (Art. 18), data portability (Art. 20), and objection (Art. 21). Where processing is based on consent, you may withdraw it at any time with future effect (Art. 7(3)). You also have the right to lodge a complaint with a supervisory authority. 11. Security

We implement appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or misuse.

12. Changes

We may update this policy to reflect legal or operational changes. The current version is always available on voxperto.com.
